Reservation and Payment Terms
A non-refundable deposit is required at the time of booking. Specific deposit requirements for each safari are given to our guests at the time of booking. Additionally, non-refundable primate permits must be paid for in full at the time of booking. One half of the remaining cost of your trip is due 100 days prior to departure. After that, the remaining balance is due 70 days prior to departure. For later bookings made 100 or fewer days prior to departure, full payment is due at the time of sale. We strongly recommend that you purchase travel insurance that includes trip cancellation.
Cancellations & Refunds
Outfitting a safari entails substantial effort and expense prior to your departure. To place holds and secure availability, funds are paid to camps and lodges in Africa which cannot be returned. As a consequence, we strictly adhere to our Cancellation & Refund policies. Notice of cancellation must be received in writing. If Deeper Africa receives written notice of cancellation the following refunds apply:
- More than 90 days prior to departure: Refund of remaining funds minus deposit and non-refundable payments made.
- 60-90 days prior to departure: 80% Refund of remaining funds minus deposit and non-refundable payments made.
- 31-59 days prior to departure: 50% Refund of remaining funds minus deposit and any non-refundable payments made.
- Cancellation 30 days or less: No Refund available.
- Gorilla, chimpanzee, and golden monkey permits: No Refund available.
Insurance
We strongly recommend that you purchase travel insurance for the following: trip cancellation, lost/stolen baggage, and medical and evacuation costs. It is foreseeable that emergency and unforeseen events may cause trip cancellations, missed connections, lost or stolen luggage, flight delays, travel interruptions, the need for medical care, the need for emergency returns to home, and other unforeseen difficulties. These events can result in significant expense if uninsured. Deeper Africa is not an insurer and is not responsible for the cost or expenses incurred due to events of this nature.
Passports & Visas
A valid passport is required for all travelers. Your passport must be valid for six months after your return to the US. Visas are frequently required: Please check with us for the specific visa requirements for your safari destinations. The traveler is responsible for visa and passport fees. These fees are not included in the invoiced price for the safari.
Changes to Safari Itineraries and Late Bookings
A safari itinerary is confirmed by payment of the initial deposit. The ability to make changes to a confirmed safari is subject to limitations such as lodging availability, guide schedules, and the availability of administrative/logistical resources. As a result, Deeper Africa cannot guarantee that changes or modifications will be available. Any changes must be made before 30 days prior to departure. If any changes are made within 60 days prior to departure, a change fee of USD $200 per change/per person will apply. The change fee is in addition to the standard charge for any additional lodgings, activities or other services.
Health Considerations
Some African destinations require a yellow fever certificate, or a medical waiver prior to entry. Many African counties pose a possibility of contracting malaria. It is your responsibility to consult with your doctor to ensure that you are adequately protected for traveling in Africa.
By sending your trip deposit you certify that you do not have any physical condition or disability that would create a hazard for you or other travelers. Any disability requiring special attention must be reported to Deeper Africa at the time of booking. Reasonable requests can be accommodated; however, the nature of some African travel may make it impossible to accommodate some disabilities. Most safari vehicles are not accessible for wheelchairs, and the availability of any such vehicle would require significant advance notice and, in any event, cannot be guaranteed. Deeper Africa reserves the right to remove any traveler whose actions or health conditions may impede the safe operation of the journey or the welfare or enjoyment of other travelers.
Modifications Due to Local Conditions
Unforeseen changes in local conditions or traveler comfort and safety, may require Deeper Africa to make reasonable adjustments to itineraries. If it is necessary to change camps, lodges, transportation, or facilities, Deeper Africa’s responsibility is limited to procuring reasonably comparable accommodation to the extent available.
Local Increases in Government Fees and Permits
The agreed price and invoice at the time of sale is based upon the price of government fees and permits at the time of sale. Occasionally, governments in Africa will retroactively increase park fees, entry fees, and other fees after the time of sale. The traveler, and not Deeper Africa, will be responsible for paying any such government fee increases.
Safety and Trip Enjoyment
Deeper Africa travel involves natural and undeveloped areas where conditions are not entirely predictable. In Africa, delays and inconveniences are not always avoidable. A healthy degree of patience and tolerance will make your travel more enjoyable.
To avoid dangerous situations, both for our travelers and for the wildlife, it is very important that all travelers obey the directions, rules, and regulations set forth by your guide, rangers, trip leaders, and camp managers. We reserve the right to prohibit any traveler from continuing with Deeper Africa travel or activities if, in our reasonable opinion, the traveler’s actions or behaviors cause danger or unreasonable risk to either the traveler or to others.
Subsequent Documentation
As a condition of travel with Deeper Africa, each traveler will complete, upon receipt, Deeper Africa’s traveler’s information form, and the traveler will sign Deeper Africa’s release of liability and assumption of risk. Additionally, the traveler must purchase international flights to the African destination and provide Deeper Africa with a copy of the flight itinerary.
